Job Description

Responsible for the participation of tender in the field of Marketing Services, Institution tender business, and customer support. Handling Customer grievances, supporting the sales & marketing team to retain existing customers while helping them to generate new business.

Roles and Responsibilities:

  • Ensure timely submission of all online/offline government Institution tenders.
  • Coordination with various internal and external teams (Sales Marketing, Finance, Regulatory Affairs, Production, QC, QA, Stores, Legal affairs, IT team, etc.)
  • Coordination with stores and production team for execution of orders, the release of stocks, and follow-up for final dispatch by monitoring end-to-end post and pre-documentation of institution stock dispatch as per SOPs.
  • Follow-up for outstanding collection with IN stockiest in order to collect payment on time.
  • Monitoring with the production team for keeps track of records of Annual production & Installed production capacity of respective product details and update the details in required tender Annexures.
  • Arranging annual turnover statement, CA certified batch details CA certificate statement through coordination with Finance group as per tender requirement.
  • Arranging tender fees and earnest money deposits for all the tenders in terms of BG, FDR, DD, and online RTGS/NEFT transfer as per tender norms for the participation of the tender.
  • Arranging performance security deposit and organizing agreement after winning tender & receiving of LOI (Letter of Intent & Rate Contract copy).
  • To collect EMD/SD Refund by resolving auditors query on EMD reimbursement given to stockiest.
  • Preparing stockiest authorization letters for IN supply stocks.
  • Modifying Annexures (as per prescribed the format of tender) by incorporating relevant data related to Manufacturing License, WHO GMP, Incorporation cert, GST Cert, Sale tax registration cert, ITR, GST Clearance Cert, etc.
  • Downloading of competitors’ documents through other bidders’ details.
  • Creating a new database of sticker labels as per respective institution stamping through the generation of barcoding/QR coding stickers for secondary and tertiary packing for dispatch of stocks.
  • Appointment of Liaising Business Associates, preparing their Agreements and vendor code, processing their Liaising commission.
  • Billing of Institution supply orders through raising SO and scrutinizing process of Updating rate master with the help of Account team to bill in Pharma cloud and SAP Module.
  • Timely participation in Railway tenders.
  • Creating a new database of sticker labels as per respective institution stamping through the generation of barcoding/QR coding stickers for secondary and tertiary packing for dispatch of stocks

 

Desired Candidate Profile:

  • Science Graduate with a Minimum of 7- 10 Years experience in Tender Management in the Pharma industry and a minimum of 5 -7 Years as a Tender Executive.
  • Strong commercial acumen and understanding of the Institution’s Tenders.
  • Should possess Professional manners and etiquette.
  • Should be learning Agile and passionate about tenders participation timely.
  • Self-motivated with a results-driven approach
  • Should be a people person with Strong team building/ nurturing and mentoring capabilities.
  • Enthusiastic with strong interpersonal skills.
  • High achievement orientation in terms of quoting tenders as per tender norms and required documentation.
  • Effective communication skills
  • Good at using MS Office, and Excel for preparing Annexures.
